How Owlly works

One connected workflow from workforce plan to approved hours.

Owlly keeps the schedule, employee record, attendance event and timesheet connected. Managers can plan work, publish shifts, review what happened and prepare accurate downstream information without rebuilding the same workforce data across separate tools.

The shift is the connecting record.

A shift begins as a workforce plan. Once published, it becomes the work instruction an employee sees on mobile. Attendance records what happened against that shift. A reviewed timesheet turns the result into an approved record for payroll and reporting.

Owlly keeps those stages connected so a change can follow the same operational path instead of being re-entered into separate spreadsheets and systems.

Five-step workflow

  1. Plan — Managers build the roster around roles, skills, availability, leave and operating requirements. Templates and recurring shifts help teams start from a consistent structure.
  2. Publish — The schedule is released to the team. Employees see upcoming work and receive updates through the mobile experience.
  3. Work — Attendance captures actual clock-in, clock-out and break information using the methods configured for the organisation.
  4. Review — Managers compare scheduled and actual time, resolve missing records, review overtime and approve timesheets.
  5. Prepare — Approved hours, allowances and exceptions move into payroll-export, integration and labour-reporting workflows according to deployment scope.

One workforce record, viewed by different teams.

  • Operations sees coverage, shifts and last-minute changes.
  • Department managers see the roster, requests and attendance exceptions.
  • HR sees employee information, leave and approval history.
  • Finance and payroll receive reviewed hours and clearer exception data.
  • Employees see schedules, requests and relevant workforce information on mobile.

Reduce the gaps between workforce systems.

Disconnected systems create three recurring problems: information is copied more than once, changes are discovered too late and teams disagree about which record is correct. A connected workflow gives each team a more consistent view while preserving role-based access.

Frequently asked questions

Does Owlly replace every HR and payroll system?
Not necessarily. Owlly can operate as the connected workforce layer for scheduling, attendance, HRIS and employee self-service, while structured exports or integrations support existing payroll and enterprise systems according to deployment scope.
What happens when a published shift changes?
Managers can update the schedule and notify affected employees. The updated shift remains part of the operational record used for attendance and timesheet review.
Can different teams have different access?
Yes. Access can be organised around responsibilities such as organisation administration, scheduling, attendance, leave, employee records and reporting.
Can Owlly work across more than one location?
Owlly is designed for organisations with departments, outlets, properties and locations. Exact cross-location workflows are configured during implementation.
