Scheduled hours vs actual hours: a practical guide
Understand the difference between scheduled, attendance, actual and approved hours — and why the distinction matters before payroll.
Four kinds of hours
Managers and payroll teams often speak about "hours" as if it were one number. In practice there are at least four, and each answers a different question.
- Scheduled hours — what the roster expected the employee to work.
- Attendance hours — the raw clock-in and clock-out record.
- Actual hours — the reviewed working time after breaks and adjustments.
- Approved hours — the amount authorised for payroll preparation.
One shift, four numbers
Consider a fictional 09:00–17:00 shift. The employee clocks in at 09:04 and out at 17:08. The four numbers below are all correct — they just answer different questions.

Where variance comes from
- Late arrival, early leaving or missed clock events.
- Approved extensions, coverage swaps and role changes.
- Breaks that were or were not clocked.
- Leave that overlapped the scheduled shift.
What managers should review
A weekly review that compares scheduled hours to approved hours prevents payroll surprises. The aim is not to eliminate variance — it's to make sure every variance has a decision behind it.
