Why spreadsheets break

A shared roster spreadsheet works until three things happen at the same time: staff numbers grow, managers change shifts through chat, and payroll starts reconciling actuals against a copy that nobody has updated. The file is not the problem — the workflow around it is.

A workflow redesign

Before selecting software, redesign the workflow. Decide who owns publishing, how changes are communicated, how attendance is captured, and how payroll reads the result. The tool should serve that workflow, not force a new one on the operation.

  • Identify one owner per schedule (a manager or a rota lead).
  • Agree how changes are proposed, approved and communicated.
  • Decide where leave requests live and how they affect scheduling.
  • Pick the attendance method that fits each site.
  • Define how the schedule becomes a payroll input.
